Who approves, who replies: setting up the outreach handoff

Managed outreach breaks at the handoffs. Agree them before the first campaign goes out.

When someone else runs part of your outreach, whether an agency, a contractor or an automated workflow, most problems show up at the handoffs. A message goes out that nobody approved. A reply sits unanswered. A rep calls a prospect who is already in a campaign. Each of these is avoidable if the handoffs are agreed before launch.

These are the handoffs we agree with every client.

Who approves the targeting

Someone on your side signs off on which companies and roles a campaign will reach. That person should know your market and be able to say no. Agree how quickly approvals come back, because late approvals delay launches.

Who approves the messages

Your team approves the messages before a campaign starts. After that, campaigns can run when signals arrive, within the approved plan. Anything outside the plan comes back for approval.

Who owns a reply

Replies belong to your sales team. Agree where replies land, such as a CRM task, a Slack alert or both, who picks each one up and how fast. A positive reply that waits too long can go cold.

How campaigns and reps stay apart

If your reps also prospect, agree which accounts and contacts each campaign covers. Nobody should get a campaign email and a cold call about the same thing in the same week.

What gets reported

Agree what you will see each week: companies researched, signals found, campaign activity and replies, and work completed. A report should show the work and what it means.

What you keep

Make ownership explicit. Your CRM data, setup, sending domains and inboxes should be in your company's name from day one, so nothing is lost if the arrangement ends.
